Email delivery issues: email marked as Spam

Some of your customers might experiencing issues with receiving emails from our platform, with the emails being marked as spam. Below are some steps and recommendations to help mitigate this issue:

  1. Mark emails as Not Spam (Users)

    • Please instruct your users to mark emails from our site as “Not Spam” in their email clients. This can help teach the email providers that our messages are legitimate.
  2. Add the domain to the allowlist (Users)

    • Encourage your users to add the domain @discoursemail.com to their email provider’s allowlist. This can significantly reduce the chances of our emails being marked as spam. Here are the guides for the main providers to create filters, but note that many other email providers also allow the creation of custom filters:
      • Gmail: create a new filter. Add @discoursemail.com in the From field, click on Create filter, and select Never send it to Spam.
      • iCloud: follow the instructions here.
      • Outlook: set up rules as described here.
      • Yahoo: follow the guide here.
  3. Customize email templates (Site Admins)

    • You can customize the email invitation templates to include a signature or additional text that emphasizes the legitimacy of the emails. This can help users recognize and trust the emails.
  4. Bypassing spam filters for Microsoft Hosted Exchange (Anyone with admin access to the email provider’s control panel)

    • If your company uses Microsoft Hosted Exchange, we have a procedure to bypass spam filters for emails from your Discourse-hosted site. Please follow this guide for detailed instructions.
  5. Bypassing spam filters for Google Workspace (Anyone with admin access to the email provider’s control panel)

    • Similarly, if you are using Google Workspace, you can follow this guide to bypass spam filters for emails from your hosted site.

Please note that while we strive to ensure that emails are delivered successfully, we have no control over how email providers handle the emails once they leave our servers. We manage them until they are sent out and receive delivery confirmation responses from the receiving providers.
